People Module: Add/Update Exisiting People to Ensembles/Groups

The Reports feature allows you to add existing members to an Ensemble/Group or update their Positions within that group in batch. You can add members that have not been assigned to an ensemble or group as well as members that also belong to different ensembles or groups.

Add existing people to additional Ensembles in batch:

  1. Click the Tools menu.
  2. Click the Rosters link under Reports.
  3. Select an Ensemble from your list. Make sure you have the correct Year.
  4. Click the Run button.
  5. Click the Add People button after your results are displayed on the screen.
  6. Scroll down your list and select all members you want to add.
    • Press and hold the [Ctrl] key and click to skip names from the list.  
    • Press the [Shift] key and hold if you want to select the entire list or a group of names without skipping.
  7. Click the Add Selected People button. They will be added to the list.
  8. The names will appear in the list to your left.
  9. Update or assign the new members' Positions if necessary (see below).
  10. Click the Return to Roster Report button when you are done to exit.

Assign or update Positions:

  1. Click the Tools menu.
  2. Click the Rosters link under Reports.
  3. Select an Ensemble from your list. Make sure you have the correct Year.
  4. Click the Run button.
  5. Click a Member's Name in the list to Select a Position for the member.
  6. Choose an option from the drop-down list.
  7. Repeat for all names added.
  8. Once you have assigned Positions to all of the names added, click the Update this Ensemble/Group button.
  9. Click the Return to Roster Report button when you are done to exit.

Remove members from an Ensemble:

If you need to remove one or more members from the Ensemble, you can easily do it in batch from this screen.

  1. Click the Tools menu.
  2. Click the Rosters link under Reports.
  3. Select an Ensemble from your list. Make sure you have the correct Year.
  4. Click the Run button.
  5. Scroll down to the member's name. 
  6. Click the Remove button next to the member's name.
  7. Click the OK button in the pop-up window.
  8. Click the Return to Roster Report button when you are done to exit.
