People Module: Printing Barcode Lables for Members

Cut Time allows you to Print a Barcode Label for each of your Members. 

When someone is added to your Cut Time Account, they are automatically assigned a System Generated Barcode upon creation of their Profile.

As an Administrator, you can Print these Member Barcode Labels to help you Check In and Check Out Attire and Instruments, and even help you track Event Attendance. 

How to Print Barcode Labels for Members

  1. Go to the People Module: Print Barcodes Page.
  2. From the Select Members dropdown list, click on "Ensemble".
  3. Narrow down your list of possible Members by using the options within the Filter Ensemble box: 
    1. Choose an individual Student 
    2. Select an Ensemble/Group from the Ensemble dropdown menu
  4. Select the Label Format size in the dropdown.
    1. *Note: Cut Time has defined a preset list of four standard Avery Label formats for Printing. However, you have the ability to Print any Label format that Avery has available. If you would like to Print a different type of Label, select one of the four pre-formatted Labels and click the "Confirm selection" button. Then on the next screen click "Produce labels at Avery". Once on the Avery site, you will be able to choose any Label format you desire.
  5. *Note: All Members will be selected by default
    1. Uncheck any Names you wish to omit or use the "Deselect all" button, and then only check the individual Member Names you wish to Print Labels for. 
  6. Click "Confirm selection".
  7. Click "Produce labels at Avery".
  8. This will redirect you to the Avery Label Creation website. 
    1. *Note: If you have chosen to use a different Label format (1), click on "Change Template" then click on the "Edit All" button to make the change to all labels.
  9. Click "Import Data/Mail Merge" then click "Choose Fields".
  10. Uncheck the fields you do not wish to see on your Label, leaving the fields you wish to appear on the Label checked.
  11. When satisfied with your selections click the "Next" button at the bottom of the pop-up screen. 
  12. Click and drag the fields in the order you wish them to be displayed on the Labels.
    1. *Note: You can put these fields in whatever order you would like them displayed.
  13. When satisfied with the content for your Labels, click the "Next" button
  14. Choose if you would like to Edit All Labels or one at a time.  Once ready, click "Finish".
  15. To create the Barcode, click the "More" button with 3 dots.
  16. Then click on the "QR and Barcodes" button, then the "Add Barcode or QR Code".
  17. Choose the option Spreadsheet or Sequential Number and then click .
  18. In the Step 1 area, Click and drag the Barcode option into Step 2 - Create Barcodes, under the field that says Enter alphanumeric and special characters. Then click "Finish".
  19. Move Barcode to where you would like it to appear on the Label.
    1. *Note: A red warning will appear if the Barcode is too small or is outside the Safe Area to Print.
  20. To edit the text on a Label:
    1. Click on "Object List" then click "Text 1".
    2. The Text Editing panel will appear on the left hand side of your screen
    3. Examples of things you can Edit:
      1. Add School Name
      2. Bold text
      3. Change Color
      4. Enlarge/Shrink text
      5. Etc.
  21. When finished Editing, click the "Preview & Print" button
  22. *Note: Make sure to check ALL pages of your Labels to make sure there are no:
    1. Mistakes
    2. Overlapping text
    3. Issues of Barcode placement
  23. If an error is found, click the "Customize" button to go back and Edit abels.
  24. Make correction to Labels OR click the "Preview & Print" button.
  25. Click either Print it Yourself or Let Avery Print For You (Paid Service) to complete the printing of your labels

How to Print Custom Barcode Labels Using a Label Printing Program Other Than Avery:

  1. Go to the People Module: Print Barcodes Page.
  2. Select the group of Members you are trying to Print for from the drop-down list.
    1. Ensemble
    2. Volunteers
    3. Donors
    4. Parents
    5. All alumni
  3. Select the Members you want to Print. 
    1. *Note: The list will default to selecting all Members.
    2. Use the "Deselect all" button to clear your selection.
  4. Click the "Extract (CSV)" button towards the top of the page.
  5. *Note: This will produce a CSV File containing the information from list of Members you selected.
  6. Upload the CSV file to your Label printing program.
  7. Produce your Labels
