People Module: Assign Administrator Permissions to Your Members

How to Assign Full or Partial Permissions

*Note: It is recommended that you assign EITHER Full or up to 2 Partial Administrative Rights. DO NOT select both Full Administrative Rights as well as one or more Partial Permissions.

  1. Go to either the People Module: Members Page or the People Module: Members (new) Page
  2. (In the Members Page) Scroll down to the Member you would like to select.
    1. *Note: To see a full list of all your Members, switch the Ensemble/Group filter from "include all ensembles/groups" to "All People, All Years".
  3. Click the "Update" button.
  4. (In the Member (new) Page) Using the different Dropdown options, scroll down to the Member you would like to select.
  5. Click the "Update" button.
  6. Scroll down to the bottom of their Profile page and go to the Permissions tab.
  7. Check the Administrator role option(s) you would like to assign to the Member.
  8. Click the "Save" button.

"Tools" Button: Access to Administrative Reports and Customization Tools

The blue  "Tools" button is located at the top of each Page (that an Admin has permissions to) that is relevant to that Page's set of Reports/Tools.

  • The "Tools" button allows Administrators the ability to see Reports and Tools associated with each Module, right from within that Module, rather than navigating away from that Page to the Tools Module: Tools/Reports Page
  • *Note: If there are no Reports/Tools associated with a Page/Module, no "Tools" button will appear.

Full Administrative Rights:

  • Gives an Admin access to all Modules and Tools

*Note: This is option is not available for Members with the "People Type" of Student. In order to have the ability to possess Full Administrative Rights, a Member must be listed as either Staff/Faculty or Parent.


Full Communications Access Administrator:

  • Gives an Admin access to all Communication Module Pages and Tools
    • Send Email messages
    • Send Text messages
    • Edit/Publish News
    • Access Message Archive
    • Access Email Address Report
    • Access Mobile Phone Report

Partial Communications Access Administrator:

  • Gives an Admin access to all Communication Module Pages and Tools for CURRENT School Year ONLY
    • Send Email messages
    • Send Text messages
    • Edit/Publish News
    • Access Message Archive Page
    • Access Email Address Report
    • Access Mobile Phone Report

Documents Administrator:

  • Gives an Admin access to Upload and manage Files/Docs

Financial Module Administrator:

  • Gives an Admin access to all parts of the Financial Module Pages and tools
    • View and edit Student Ledgers
    • Edit Financial Obligations
    • Receive Payments
    • Send Statements
    • Mass Print Statements
    • Create fundraising Campaigns
    • Access to the Financial Obligations Report
    • Access to Financial Obligations (by Obligation) Report
    • Access to Financial Payments Report
    • Access to Financial Credits Report
    • Access to edit Payment Processing for your Organization
    • Access to Data Backups - Obligations
    • Access to Data Backups - Payments

Inventory - Music Library Administrator:

  • Gives an Admin access to all parts of the Inventory Module and the all parts concerned with your Music Library
    • Adding/Editing Music Library selections
    • Scanning Barcodes for Music Library
    • Printing Barcodes for Music Library
    • Access to Tools for Categories, Instrument/Voices, and Publishers
    • Access to Data backups for Music Library

Inventory - Attire Administrator:

  • Gives an Admin access to all parts of the Inventory Module that deal with your Attire
    • Adding/Editing Attire selections
    • Scanning Barcodes for Attire
    • Printing Barcodes for Attire
    • Measurements Page
    • Access to the Attire Contracts Tool
    • Access to Tools for Categories, Items, Genders, Conditions, Manufacturers
    • Access to Data Backups for Attire
    • Access to Data Backups for Measurements

Inventory - Instruments/Other Items Administrator:

  • Gives an Admin access to all parts of the Inventory Module that deal with your Instruments/Other items
    • Adding/Editing Instruments/Other Items selections
    • Scanning Barcodes for Instruments/Other items
    • Printing Barcodes for Instruments/Other items
    • Access to view Inventory that is associated with other Cut Time Accounts linked with your District
    • Access to the Inventory Report
    • Access to the Instrumental Contracts Tool
    • Access to tools for Categories, Sections, Items, Manufacturers, and Locations
    • Access to Data Backups for Inventory

Event Calendar/Volunteer Administrator:

  • Gives an Admin access to all parts of the Calendar/Volunteer Module
    • Add/Edit Events on your Cut Time Calendar
    • Create/Edit Volunteers
    • Create/Edit Volunteer Opportunities
    • Access Event Attendance Report
    • Access Volunteers Report
    • Access Events Attendance - Events Reports
    • Access Event Attendance - Members Reports
    • Access to RSVP Tracking Reports
    • Access to the ability to Sync your Cut Time Account with your Google Calendar
    • Access to Tools for Event Types and Schedule Elements
    • Access Volunteer Tools
    • Access to Data Backups for Volunteers

Manage Event Attendance Administrator:

  • Gives an Admin access to the Calendar Module: Event Attendance – Events Page 
    • Toggle between all Attendance Events
      • Check in Members:
        • Mark All as "Present"
        • Check in Individuals as "Present", "Absent", "Tardy", and "Excused"
        • Scan Members in by using Barcode Scanning
      • Write Comments for Attendance
      • Print a copy of that Attendance Report
      • Extract a copy of that Attendance Report

*Note: That this does not give them access to individual Members' Event Attendance Records contained within the Calendar Module: Event Attendance – Members.
